Compensation for Office Manager

The Office Manager will be paid $100/month for COMMON office duties listed below.  This will show up as a $50 payment on each pay period.  For tasks performed outside the usual to-do list, the office manager will be reimbursed for any expenses and $45/hr.

Common Office Manager Duties

Common office manager duties are paid at $100/month.

Daily Tasks

  • Turn on the lights.
  • Change the temperature to an appropriate level of -70 degrees unless your specific office is more comfortable at a different temperature.
  • Turn on Google Home for music.
  • Restocking - candy, cups, coffee, tea, stir sticks, creamer, sugar, hot chocolate, etc.
  • Pick up any trash left in the lobby and organize the space so it is presentable for clients coming in that day.

Tasks as necessary

  • Ensuring printed hard copies of all documents are available, including intakes, disclosure statements, HIPAA documents, ROIs, etc.
  • Setting the water jugs out on the appropriate day for exchange.
    • Erindale (Pink) - every other Wednesday
    • Citadel (Blue) - every other Wednesday
    • Circle office (Orange) - every four weeks on Tuesday
    • Centennial Office (Yellow) - every other Tuesday
    • Barnes Office (Purple) - every other Monday
  • Spot cleaning as necessary - dusting, whipping hard surfaces down with Clorox wipes, mopping, vacuuming
    • There is weekly cleaning on Sundays by a hired cleaning company (vacuuming, dusting, mopping, bathrooms) - please notify Jennifer Luttman of any unsatisfactory cleaning by the cleaning company.
  • Bathroom spot-cleaning as necessary (Erindale & Centennial offices only).
  • Wipe down surfaces, and use cleaner in the toilet and Windex mirror.
  • Take the trash out and replace trash bags as necessary.
    • Centennial office - trash code is 32-2-12
  • Maintaining proper stock levels of supplies and placing orders using the Amazon Business Account (approval will be needed on all orders).
Please do not wait to make an order until you are out of something.

When applicable

  • Greeting clients and answering their questions as they arise at the location - i.e., a client shows up to the wrong office and needs to be redirected to the appropriate office.

How to place office supply orders with Amazon

To place an order for Office Supplies, Printer Supplies, Janitorial Supplies, Resources or Toys, follow the steps below.

  • Visit the OC Amazon Business Account, and click here.  Sign in with your Overcomers Google Account.
  • Use the Prebuilt Lists for everyday products we need for our offices.
  • Orders can be shipped directly to the office.  Please make the order date the day that you work at the office.  
  • Payment will be made through our company credit card.
  • Be sure to choose the free shipping option when placing an order
  • All orders require approval.  Once you place your order, Jennifer Luttman will receive a notification to approve it.

Uncommon Office Manager Duties

Reimbursed at $45/hr + expenses.

Examples:

  • Meet new clinicians, “show them around,” and give them a key.
  • Make special emergency trips to the office (i.e., a clinician gets locked out).
  • Manage/receive furniture deliveries and setup.

Coordinate Luncheons for the Office

The office manager will coordinate (finding a time and place) 2 lunches for the office, paid by Overcomers.  The office manager will receive a $50 bonus for their efforts in coordinating the event.  Overcomers will provide an e-gift card to the restaurant via email to the office manager.  The objective is to foster a sense of camaraderie among all office members, as many as possible, by bringing them together over lunch.
