Weather Cancelation Procedure

Snow and icy roads will make driving hazardous, and we want to ensure everyone's (clients and clinicians) safety. Therefore, if the school district of the office is closed due to weather conditions, the office will be closed, and all in-person appointments will potentially be canceled for the day (it's up to the clinician if they want to cancel).

Steps to cancel appointment due to weather

Clinicians must connect with their clients if they want to cancel appointments because of the weather.  However, please note the following:

  • This does not mean the clinician HAS to cancel their appointments but clients will NOT be charged a cancellation fee if they choose to cancel.
  • If a clinician still choose to see clients, they can do so in the office or via Telehealth.
  • If the district is still open and the client cancels their appointment (within 24 hours), it is the clinician's choice if they will charge the no-show fee.
  • If the clinician feels unsafe driving, please stay home.

If a client contacts the admin team to cancel due to weather, the admin team will cancel the appointment in your calendar and then email or chat to let you know.

Here is an email template to send your clients preemptive communication as the bad weather rolls in.  

Hi XXXX,
I wanted to contact you regarding inclement weather, as it seems we are quickly heading into Colorado’s snowy season. Overcomers’ snow day policy is as follows: if School District XXXXX (where our office is located) is closed due to weather conditions, all appointments are canceled for the day. No fees will be charged for this situation.In the case of a 2-hour delay by School District XYZ, I will be in contact via email very early that morning to confirm or cancel appointments. I don’t want to risk anyone’s physical well-being to get to an appointment if local agencies have determined it to be unsafe to be on the roads; having a plan in place will give us all peace of mind for what will happen when these days come. That option is available if you would like to have a video session on snow days.
