Connecting with the right team or department is crucial for maintaining an efficient workflow. It ensures everyone can focus on their tasks and address questions without the need to redirect conversations to others.  Please review the following departments and their roles and duties below.

HR Dept

To contact the HR Dept, email hr@overcomewithus.com for any questions and inquiries, such as:

  • Payroll questions
  • Direct deposit questions
  • Health Benefits

  • 401k
  • Office personnel issues
  • Office maintenance issues

Scheduling Team

To contact the Scheduling Team, email scheduling@overcomewithus.com for any "Scheduling" questions and inquiries related to clients, such as:  

  • Help to take on new clients
  • Referring a client to another therapist
  • Reassign a client or remove them from your caseload
  • Take a client on the waitlist
  • Directory issues
  • etc.

The Scheduling team handles the following tasks:

  • Intake scheduling/booking
  • Intake docs sending
  • Collecting insurance/payment info
  • Verifying benefits
  • Handling missed calls from the clinician
  • Handling all guest/client inquiries (calls, emails, chats)
  • Canceling/rescheduling support for clients

Billing Team

To contact the Billing Team, email billing@overcomewithus.com or use the Billing Q&A chat space for any client-billing questions and inquiries, such as:

  • Insurance questions from clients
  • Insurance changes for clients (The best practice is to have the client update their insurance information on the Client Portal >> Documents >> Client Insurance Form)

The billing team handles the following tasks:

  • Charges copay
  • Collects open balances
  • Submitting EDI claims
  • Processing ERAs
  • Insurance denials

Clinicians Team

To communicate with all Clinicians, view the Clinician Chat space.

Counselors handle the following tasks:

  • Client Psychotherapy
  • Client care
  • Scheduling sessions.

PMHNPs handle the following tasks:

  • Client Psychiatry
  • Established client care/communication
  • Scheduling follow-up sessions
  • Charging client copays
  • Processing Prior Authorizations
  • Handling Pharmacy inquiries

Credentialing Team

To contact the Credentialing Team, email:  credentialing@overcomewithus.com for payer-related questions or inquiries such as:

  • Credentialing with payers
  • CAQH attestations
  • Re-credentialing
  • Other payer-related tasks

Clinical & Billing Supervisors

Clinical Supervisors supervise candidates for licensure, and Billing Supervisors sign off on notes for insurance billing purposes. Most of the time, the clinical and billing supervisors are the same person.

Clinical Admin

Contact Jenny for any clinical questions via Google Chat or email.  Jenny handles questions and issues such as:

  • All Note expectations and issues
  • Clinical/Billing Supervisor training and questions
  • Clinical Liaison with community
  • Clinician consults and questions

Business Admin

For any issues beyond the scope of these departments: HR, Scheduling, Billing, and Credentialing, contact Garrett via email or Google Chat.  Garrett handles questions and issues such as:

  • Corporate questions and inquiries
  • 2FA login issues with Google or TN
  • Manager of the HR, Scheduling and Billing Teams
  • All Marketing inquiries
  • All applications (Website, Google, CTM, TN, Cognito, Kustomer, etc) technical issues, monitoring and performance
