Caseload Minimum Policy

To ensure quality of service and counselor well-being, Overcomers Counseling has established a minimum caseload requirement for counselors of:

32 intakes/sessions per month

32 intakes/sessions per month is the minimum for W2 Counselors.  Visit TN >> Staff >> Your Name >> Billing >> Note Count Report to view your Intake/Session note count.

Policy Rationale

This minimum caseload standard:

  • Ensures counselors maintain a sufficient level of client interaction and engagement.
  • Enables counselors to sustain and develop their clinical skills through regular practice.
  • Supports the financial health of the organization.

Policy Exceptions

Under specific circumstances, exceptions to the minimum caseload requirement may be permitted. Generally, counselors are allowed three months within the year, during which they may not meet the minimum caseload.  Other exceptions may include:

  • Medical leave or vacations.
  • Newly hired counselors who are building their caseload.

Monitoring and Evaluation

Counselor caseloads will be monitored regularly to ensure adherence to this policy. Counselors who consistently maintain a caseload below the minimum requirement without an approved exception may face termination due to the associated employment costs. Nevertheless, our primary objective is to retain each clinician!
