To improve documentation efficiency and reduce time spent on note-writing, the practice provides approved AI scribe tools for clinicians. These tools assist with generating clinical notes while allowing staff to remain focused on client care.
This policy applies to all Overcomers counselors, including W-2 and 1099 clinicians, who utilize AI-assisted documentation tools.
AI scribes provide several workflow and documentation benefits:
1. Reduced Documentation Time
AI scribes significantly decrease the time required to complete clinical notes. Most notes should take approximately 5 minutes, with 10 minutes as the maximum expected time.
2. Improved Note Accuracy
AI-generated notes capture session details more consistently, helping reduce documentation errors or omissions.
3. Enhanced Clinical Focus
By automating portions of the note-writing process, clinicians can remain more present and engaged during sessions.
4. Increased Efficiency and Productivity
Faster documentation allows clinicians to manage their caseload more efficiently and spend more time focusing on client care.
The organization currently supports two AI scribe platforms: Heidi Health and Blueprint AI. Platform access depends on when the staff member joined the organization.
Heidi Health remains available only to staff who already had access prior to March 15, 2026.
Cost and Usage Requirements
Important:
Staff members hired on or after March 1, 2026 +/- will not receive access to Heidi Health.
Existing Heidi Health users may continue using the platform temporarily while their access remains active.
Beginning April 1, 2026, Blueprint AI is the standard AI scribe platform for new staff members.
Cost and Usage
All new staff members hired on or after March 1, 2026 will only be granted access to Blueprint AI for AI-assisted note transcription.
All clinicians are responsible for reviewing and editing AI-generated notes to ensure accuracy, completeness, and compliance with documentation standards before finalizing notes in the EHR.
