The following glossary provides definitions and explanations of key terms to help you recognize essential elements and understand the terminology used across each application and in our Support Agents' daily workflow. Whether you're navigating the platform, communicating with clients, or collaborating with team members, these defined terms will help ensure clarity and consistency in your interactions and processes.
IP: Identified Patient. This is the patient or client we are serving, who is listed as the main patient in TN.
MOC: Mother of Client
FOC: Father of Client
DOS: Date of Service. This is the date the appointment (session or intake or consult) was held.
Non-IP: The Non-IP is the non-identified patient, which is usually the spouse or family member of the Identified Patient (IP). For couples or family therapy, each attendee of the sessions requires content and requires their own Therapynotes (TN) accounts.
Intake Packet: The intake packet is a form that new clients are required to fill out, which contains the following documents and forms:
TN: Short name for Therapynotes
EHR: TherapyNotes is our EHR, which stands for Electronic Health Records. This is the application in which all patient data and documents are stored and managed.
Patient or Client: This is the name of the individual that we are treating.
TN Contacts: These are the names of Individuals or companies associated with the Client. These could include parents or guardians, PCP, parole officers, other mental health organizations that the client has authorized releases of information (ROI).
Diagnosis (Dx): Their diagnosis is the mental health condition the clinician has determined for this client. For a clinician to diagnose someone with a mental health condition, they must meet the criteria of the DSM manual.
Entry: Every submission of a form creates an 'entry' that stores all the form fields from that submission.
Activity Log: Every entry includes an Activity Log section (located near the top of the entry). This stores a timeline history of the actions on that entry.
View: Entries are organized into a view. Every form can have several Views that contain filtered entries.
Customer: Client, contact or person with an email or phone number
Company: Is a company name that a customer belongs to. Several customers can be assigned to 1 company.
Timeline: When viewing a customer/contact, their timeline shows every interaction that has taken place via any channel (email, sms, voice, social, etc).
Conversation: The subject of a new email starts a 'conversation.' Each interaction with a different subject usually leads to a new discussion.
Message: Our email/sms/social messages that take place within a conversation. Each interaction can be grouped under one conversation.
Searches: Searches are groups or organized views of conversations, customers or messages. Searches are created using a series of conditions to group conversations/customers/messages/companies/etc. in whatever fashion we'd like.
Tags: Tags are helpful for labeling a conversation for quick viewing, and they can be used in Searches and Reporting.
Shared Emails or Phones: Shared emails prevent merging customers into a single contact when two or more customers share that email address. This is helpful when you want different timelines for each contact that uses the same email address. For example, a husband and wife both share the same email address, but both are clients. Placing the email address in either contact in the shared email field will allow you to keep the timelines separate. You may have to move a conversation depending on where it ends up to one timeline or the other.
Copay: The copay is usually a set dollar amount that the client must pay for therapy or psychiatry sessions.
Coinsurance: The coinsurance is a percentage of the total session fee that the client must pay. If the deductible is met, the client is required to pay a portion of the total session fee; if it is not, the client will usually be required to pay 100% of the session fee.
Deductible: The deductible is the dollar amount set by the Insurance payer and may or may not apply to determining the client's responsibility.
Service Code: Service codes (e.g., 90791, 90837, 90832, etc.) are defined by the ACA and describe the service performed by the clinician. The service codes are listed on the claim, and determine what the insurance company pays to Overcomes.
INN: In Network. In network means that the provider is contracted with and credentialed with the insurance payer.
Credentialing: The process by which a provider becomes in-network with an insurance company.
PV: PV stands for pVerify. pVerify is the application used to verify insurance benefits.
VOB: Verification of Benefits. This is the process involved in verifying benefits and determining client responsibility.
PV Payer Code: Each insurance payer in pVerify has a code that serves as its unique ID.
TN Payer ID: Each insurance payer in TN has a code that serves as its unique ID. This unique ID number must match the ID number on the client's insurance card.
PMHNP: This stands for Psychiatric Mental Health Nurse Practitioner. This is a specialized nurse practitioner who deals with mental health conditions and can prescribe medication.
Psychiatrist: A psychiatrist is a doctor specializing in mental health conditions and can prescribe medication. Overcomers does not employ any psychiatrists.
LPC: LPC stands for Licensed Professional Counselor. This counselor is not under supervision and provides talk therapy for clients with mental health conditions.
LPCC: LPCC stands for Licensed Professional Counselor Candidate. This counselor is under supervision by an LPC and provides talk therapy for clients with mental health conditions.
LCSW: LCSW stands for Licensed Clinical Social Worker. This social worker counselor is not under supervision and provides talk therapy for clients with mental health conditions.
SWC or LSW: SWC or LSW stands for Social Worker Candidate or Licensed Social Worker. This social worker counselor is under supervision by an LCSW and provides talk therapy for clients with mental health conditions.
LMFT: LMFT stands for Licensed Marriage and Family Therapist. This counselor is not under supervision and provides talk therapy for clients with mental health conditions.
MFTC: MFTC stands for Marriage and Family Therapist candidate. This counselor is under supervision by an LMFT and provides talk therapy for clients with mental health conditions.
Psychologist: Overcomers does not employ any psychologists. A psychologist primarily handles extensive mental health condition testing, such as autism testing and ADHD testing.
